(Overview)

This position is responsible for providing administrative support to company director level positions and associated facility staff.

  • Performs clerical duties in support of a director level employee and staff, including the handling of sensitive details and assignments.
  • Coordinates the director’s schedule, expenses, meetings, travel, etc. Schedules appointments, meetings, visitors and events as needed.
  • Monitors all incoming calls, messages and mail, handling as many responses as possible independently with a prescribed degree of discretion.
  • Assists Human Resources with routine tasks (ie. Assist with new employee orientation {NEO}, badges, bulletin boards, visitors, employee activities, office supplies, tours, bereavement, etc.)
  • Organizes, prioritizes and summarizes data, materials and information. Prepares reports and summarizes and organizes data for director’s review.
  • Anticipates, prepares/reviews and sends correspondence on behalf of director.
  • Creates, maintains, updates and reconciles spreadsheets and various reports to support the director’s decision-making process.
  • Responsible to conduct yourself in a manner consistent with company mission, values, code of ethics, policies and other standards of conduct.

Education: High school diploma required. Associate’s degree or two year certificate in an administrative related field preferred.

Years of related experience: Typically has 3 – 5 years of related experience.

Knowledge/skills/abilities: PC skills including expertise with MS Office & Outlook. Basic understanding and knowledge of the business unit structure, policies, products, etc. Good interpersonal and communication skills with a high degree of sensitivity for confidentiality. Ability to gather, organize and analyze data. Solid sense of priority, logic and objectivity.

Must be computer proficient – Microsoft products; Kronos and Taleo software experience is a plus
