We're seeking a dynamic and business-savvy Executive Administrative Assistant to support the Chief Supply Chain Officer and several Vice Presidents within our rapidly growing Supply Chain business. In this role, you'll be the ambassador of our Sr Leadership Team, playing a critical role in the daily operations. Responsibilities:

  • Performs elevated level administrative and project coordination tasks for the Chief Supply Chain Officer and Vice Presidents including the handling of confidential details and assignments.
  • Coordinates the executive's schedule, expenses, meetings, travel, etc. Schedules appointments using discretion.
  • Monitors all incoming calls, messages and mail, handling as many responses as possible independently with a high degree of discretion.
  • Organizes, prioritizes, and summarizes data, materials, and information. Prepares reports and summaries and organizes data for the executive review.
  • Anticipates, prepares/revises, and sends correspondence on behalf of the executives.
  • Supports projects and events for Senior Leadership to achieve desired business results.
  • Manages and facilitates communication needs within support departments.
  • Schedule and set-up resources and technology needed for meetings and events; responsibilities include, but are not limited to planning, scheduling, communication, space reservation, setup and cleanup, preparation of meeting materials, technology needs, catering, agendas, and meeting minutes.
  • Utilize software skills including an expert in MS Office Suite, including PowerPoint with the ability to create meeting slides & follow-ups with team members to receive accurate content on time. Creates, maintains, updates, and reconciles spreadsheets and various reports to support the executive's decision-making.
  • May provide work direction and training for employees and other staff members.

Qualifications:

HS Diploma or GED and 7+ years’ experience in a role involving project coordination and/or administrative support of leaders and their teams in a corporate setting.

Preferred Qualifications:

Associate or bachelor’s degree and 7+ years’ experience supporting executive leadership including calendar management, meeting planning and project coordination within the CPG industry.

Knowledge/Skills/Abilities:

  • Experience with various software systems including MS Office, Teams, and Outlook
  • Understanding and knowledge of business unit structure, policies, products, etc.
  • Strong interpersonal and communication skills with an extremely high degree of sensitivity for confidentiality.
  • Ability to gather, organize and analyze data. Extremely high sense of priority, problem solving, logic and objectivity.
